Introduction

This page describes the automated add score process. For the traditional method, see Help:Score submission guide/Traditional method.

The new, automated add score process, introduced in October 2013, is intended to simplify the process of adding a new score edition to ChoralWiki, especially for those users who are unfamiliar with adding and editing wiki code inside composer and work pages. Using this process, the composer and the work pages are automatically created or updated, without the user being required to do it manually.

Please contact the administrators through the CPDL user forums for any problems or suggestions. Note: the forum does not use the same account as on the main cpdl.org site, so it requires creating an account specifically for the forums if you haven't already done so.

Step 1: Before adding a new score to CPDL

  • File name for your new score. Use whatever method for file naming you wish. It is recommended that it be as short as possible while still distinguishable from other CPDL scores; also, use a system that helps you remember where you put it on your computer. Use the recommendations found at Help:Score submission guide/File and page titles.
  • Get your score perfected before proceeding. Replacement files can be uploaded later, but it's a lot easier to take some time now to make sure it's the way you want it.
  • Check CPDL, other web sites, books, and research materials for details about the work. Unless it's your own work (you wrote it), it will be helpful to know when and where it was first published. Try to access a copy of the original publication, at least the title page; there are a number of useful websites, such as the International Music Score Library Project (IMSLP), The Internet Archive, The Hathi Trust Digital Library, Google Books, WorldCat, and many libraries.
  • Discover the source of the lyrics. Search on CPDL first. Then, sometimes a simple web search on the first line (in quotes) can be very productive. Use the search engine of your choice.
  • Save your score in several formats. PDF is required, and MID and MXL strongly recommended.

Step 2: Opening the "Add new work" form

The form may be opened by one of three methods:

a. Click on the "add new work" on a composer page. First, go to the composer page. A list may be found at Composer pages (a link is in the navigation box on the left of the screen). Be sure to check alternate spellings of the composer's name.

  • Check to see if the work is already linked from the composer page; if so, use method b.
  • If the composer name does not appear on the list at Category:Composers, go to any existing composer page and click on the "Add new work" tab on the top-right part of the page. Then, in the "Add new work" form that opens, manually replace "Composer name" with the name of the new composer. When the Add work form is completed, the new composer's name will appear with a prompt (in red) to create the page.
  • Otherwise, click on the "add new work" tab at the top right of the composer page. This will open the "Add new work" form, with the "Composer name" and the "Composer's time period" fields already filled in.

b. Click on the "add new edition" tab on a work page. Used if the work already has a page.

c. Directly opening the Add work form. For experienced editors, who have made the necessary checks for existing composer and existing work.

Step 3: Completing the "Add new work" form

Some fields may already be filled automatically. Sections of the Add work form:

  1. Title of work. (Required). The work title, as short as possible while being intelligible to other users and different from other works on CPDL. Capitalize the title using conventions of the language in which it is written. Use the recommendations found at Help:Score submission guide/File and page titles.
  2. Name of composer (First_name Last_name). (Required). Use the exact name that appears on the composer page, with the same number of spaces, including character(s) unique to the language. If more than one composer, leave blank for completion later.
  3. Name of lyricist. (Optional, Recommended). Use a name from Category:Lyricists. If more than one lyricist, leave blank for completion later.
  4. Name of editor/contributor. (Required). (First_name Last_name) Your CPDL registered name (real name). If you are adding this work for another CPDL editor, put their CPDL registered name here instead of yours.
  5. Email of editor/contributor. (Required). Please include your email address to use if we have any questions about your edition. If you are adding this work for another CPDL editor, include their e-mail here instead of yours.
  6. Publish my e-mail address. (Optional). Check this box if you wish the email address of the editor (that appears in the previous field) to be published. There is no need to check this box if the e-mail already appears on the editor's user page.
  7. Genre. (Required). Select "Sacred" or "Secular" from the drop down list.
  8. Subgenre. (Required). Select from the drop down list. If the subgenre of the score isn't there, leave it blank for completion later.
  9. Number of voices. (Required). Type the number of voices (for an SATB choir, this would be 4). Integer number from 1 to 28.
  10. Voicing. (Required). Type the voicing. Use only the abbreviations "S", "A", "T", "B" for Soprano, Alto, Tenor and Bass. For Baritone, use "B" and for Treble, use "S". In the case of more than one choir, use a period to separate them, e.g. "SATB.SATB". Count of letters in this field equals the number in previous field. If there are several editions of this work with different voicing, leave this for completion later.
  11. Year of first publication. (Recommended). Please make an effort to find the first publication year, using the original publication, lists of the composer's works online, or scholarly works. An integer number, possibly preceded with "ca. " or "post ".
  12. Language. (Required). Select the language of the work's lyrics from the drop down menu, or type the first few letters of the language until the correct one is shown.
  13. Composer's time period. (Required). If not filled automatically, select from the drop down list. See ChoralWiki:Musical eras for a description of these.
  14. Orchestration. (Required). List the instruments in the work (other than voices). Type "a cappella" if there aren't any.
  15. Notes about musical composition. (Optional). Type here specific notes about the original work, such as original voicing, key, clefs, source of lyrics, number of stanzas, etc.
  16. Sheet music format (default is 'PDF'). (Required). Almost always "PDF"; otherwise, pick the format of the primary image score file from the drop down list.
  17. Sheet music location. (Required). If you have not yet uploaded the score file, click "Upload now"; another tab will open, and you can enter a file from your computer. If you have already uploaded the file to CPDL, enter the name of the PDF file. If the file exists on another website, cut and paste the full URL of the file on an external server if it is stored there (you must include the full URL).
  18. Page size. (Required). Will be populated automatically if you used the "Upload now" button and it's a standard page size; if you specified a file on an external website, select the appropriate page size from the drop down menu. If your page size is not listed, leave it blank for later completion.
  19. Size of PDF file. (Required). Will be populated automatically if you used the "Upload now" button; if you specified a file on an external website, enter the file size (to the nearest Kilobyte) from your computer.
  20. Number of pages. (Required). Will be populated automatically if you used the "Upload now" button; if you specified a file on an external website, enter the number of pages.
  21. Midi file (give URL, or name file). (Recommended). If you have not yet uploaded the MID file, click "Upload now"; another tab will open, and you can enter a file from your computer. If you have already uploaded the file to CPDL, enter the name of the MID file. If the file exists on another website, cut and paste the URL of the file on an external server if it is stored there (you must include the full URL).
  22. MP3 file (give URL, or name of file). (Not recommended). If you have not yet uploaded the MP3 file, click "Upload now"; another tab will open, and you can enter a file from your computer. If you have already uploaded the file to CPDL, enter the name of the MP3 file. If the file exists on another website, cut and paste the URL of the file on an external server if it is stored there (you must include the full URL). (most MP3 files are fairly large, so uploading an mp3 file is not recommended except when it records information not available elsewhere).
  23. Music notation file (give URL, or name or file). (Recommended MXL). It is highly recommended that this be a MXL file. If you have not yet uploaded the music notation file, click "Upload now"; another tab will open, and you can enter a file from your computer. If you have already uploaded the file to CPDL, enter the name of the MXL file. If the file exists on another website, cut and paste the URL of the file on an external server if it is stored there (you must include the full URL).
  24. Music notation program (only list if you are making the notation file available). (Recommended MXL). Choose from the drop down list.
  25. Notes about edition. (Optional). Enter specifics about your edition of the work, for example, editing changes made, changes in voicing, key, clefs, transposition or arrangement details, etc. Add "{{MXL}}" at the end if an MXL file will be uploaded.
  26. Copyright type. (Required). See Category:Copyright for descriptions of the various copyright options. Select "CPDL" to license your edition under the CPDL license, select "Personal" to retain copyright yourself, or edit specifics of terms of use of score e.g., "for religious purposes only".
  27. External web links. (Optional). Enter appropriate links for the work in question, if you know of any. Use the format *[<full URL> Name of website] – note asterisk at beginning and one space between the full url and explanation.
  28. Your email address. (Required). Enter your email address where we should direct questions about this upload or notify you about your file's posting. This is always your email address, and may be the same as the address you gave above. It will not be included in the page code and will remain private.
  29. Do not automatically add wiki code. (Not recommended). Leave this box unchecked to create pages automatically. See Help:Score submission guide/Traditional method if you wish to check this box.

Step 4: Edit the work page

If you completed the "Add work form" correctly, you will return to the composer page, where your work will appear – in a normal list if the page is automated, or elsewhere if not. (You will have to enter the work manually if you followed the traditional process). Click on the work title to open the work page, where you will need to make some additions and corrections.

  • Music files section.
  • Make sure the score file appears with other recommended files (MID, MXL). If the music transcription file you used is not there, add a link to it at the end of the first line (with no leading space) like
[[Media:<filename>.ext|{{FILECODE}}]], where "ext" and "FILECODE" correspond to your transcription program (see here for these)
  • If you used a non-standard page size, you need to specify it in the ScoreInfo template.
  • You may wish to add more text to the "Edition notes" field, such as:
  • "… for {{Vcat|SATB}}" (or other voicing)
  • "… arranged by {{cat|<Person name> arrangements|<Person name>}}"
  • General Information section.
  • Title: If the title is descriptive of something other than the first line of the lyrics, you way wish to add another line
First line: <text>. Conversely, if the score uses a named tune, you may wish to add another line
Tune name: <text>.
  • Composer: Put dates of composition or publication in the {{Pub}} template; put notes about the composer or composition in the Description subsection; put only composer names in the {{Composer}} template.
  • If more than one composer, then use the format
{{Composer|n|<Composer1>|<Composer2>|…}}, n a number (up to 4).
  • If the work is a published arrangement, there are two options: either redo this line:
{{Arranger|<name>}}, or you can add the arranger in a separate line.
  • Lyricist: Put notes about the lyricist or location of lyrics in the Description subsection; put only lyricist names in the {{Lyricist}} template.
  • If more than one lyricist, then use the format
{{Lyricist|n|<Lyricist1>|<Lyricist2>|…}}, n a number (up to 4).
  • Voicing: By default, the {{Voicing}} template is used. If there are several editions with different voicing, they can be accommodated, for example {{Voicing|2-5|SA,SATB,AAATB}} yields "Number of voices: 2-5vv Voicing: SA or SATB or AAATB". For more complex voicing options see the template {{MultiVoicing}}.
  • Genre: Nearly always "Sacred" or "Secular".
  • Subgenre: The second and third parameters of the {{Genre}} template; specify one or optionally two subgenres. The list of subgenres is fairly long, with almost 100 subgenres in use.
  • Language: If more than one language is used in the work, then use the format
{{Language|n|<Language1>|<Language2>|…}}, n a number (up to 4).
  • Instruments:. Enter normal text description of instrumentation. The template recognizes and categorizes certain words, phrases, and abbreviations, and turns them into links for an appropriate category. See Instruments for complete list.

  • Published: It is recommended that you specify the year the work was first published and the title of the publication where it first appeared. See Category:Music publications for a list of publications at CPDL. An example of the usual format is {{Pub|1|1602|in {{NoComp|<publication title>|<editor>}} }}. Use {{Pub|2|<year>| … }} for the second publication, and so on.
  • If the first publication was a manuscript, or if you wish to specify the year of composition, see template {{Pub}}.
  • Description:. Here belongs description of the composition (such as key, part names), history of the composition, occasions or events, dedicatees, history of the lyrics, uncertainty about composition.
  • External websites: Please list websites used for reference, or source of original music or lyrics. Put each on a separate line:
*[<complete-url> <Description>] – note asterisk and space between url and description, must be complete url.
  • References: This optional section would include references to literature used.
  • Original Text and Translations section
In a new work, the template {{NoText}} appears; replace it with one of two templates:
{{LinkText|<pagename>}} – check to see if <pagename> exists, or create a new text page; see {{New text}} for explanation.
{{Text|<Language>|<text>}} – put each line of text on a new line.
  • Additions at bottom of page
Possible additions include:
If title of work starts with an article adjective, put at the bottom: {{DEFAULTSORT:<Sort order>}}, where Sort order is the work title revised for sort; for example {{DEFAULTSORT:Actes of the Apostles, The (Christopher Tye)}}
Category for liturgical season or occasion; see Category:Sacred music by season.
Category:Larger works – for works that contain several to many works

Step 5. Edits on the composer page

  1. Edit composer page, and search for your new work.
    • If your new work does not appear on the composer page, check New pages to make sure you completed the AddWork form correctly. If not, you will have to try again (but you probably won't need to upload your score files again).
    • If your new work appears on the composer page in its proper place, continue to no. 2. (Your work may also appear under "Other works not listed above"; this notice will disappear after the cache clears, usually 1-4 hours.)
    • If your new work appears on the composer page only under "Other works not listed above" (and not elsewhere), then check your e-mail for a message about inserting material in the proper location on the composer page.
  2. If composer is new:
    • Click on the "create page" text appearing next to the composer's name on your new work page.
    • Alternatively, search on the composer's name (being sure to spell it correctly; copy-and-paste from your work page). An option will appear to create a new page: type {{subst:new composer}} in the edit box, and save the page.
    • Follow the instructions at {{New composer}} to fill the blanks in the composer page format. Ways to find biographical details for a new composer include Wikipedia, research literature about the composer, and web searches on the composer's name (in parenthesis).
  3. Click "Show preview". Change items that need editing before saving changes.
